This Privacy Policy explains how NotioDocs ("we", "us", or "our") collects, uses, and safeguards your personal information when you use our website and services (the "Service"). NotioDocs is operated by Jamie (Founder & Developer). We are committed to handling your data transparently and in line with the UK GDPR and other applicable privacy laws.
1. Who We Are

2. Information We Collect
- Account & contact data — such as your name, email address, and early-access or support messages you send us.
- Notion content — pages, databases, charts, and related workspace content you explicitly connect, accessed via Notion's OAuth (typically read-only for connected resources).
- Templates & exports — .docx templates you upload and documents generated for you.
- Payment data — processed by Paddle as Merchant of Record. We do not store your full card details.
- Usage & device data — such as pages visited, approximate location derived from IP, browser type, and interactions with the Service, including via analytics tools (for example PostHog).
3. How We Use Your Information
We use your information to:
- provide, operate, and improve the Service;
- authenticate your Notion connection and generate documents;
- process subscriptions and communicate about billing via Paddle;
- respond to support requests and send service-related notices;
- understand product usage and fix issues (including analytics); and
- comply with legal obligations and protect our rights.
4. Legal Bases (UK GDPR)
Where UK GDPR applies, we rely on:
- Contract — to provide the Service you request;
- Legitimate interests — to secure, improve, and market the Service in a proportionate way;
- Consent — where required (for example certain cookies or marketing emails); and
- Legal obligation — where we must retain or disclose information by law.
5. Notion Data & Retention
Notion content is processed to generate your documents. We do not use your connected workspace content to train general-purpose AI models for unrelated purposes. We retain personal data only as long as needed for the purposes above — for example account data while your account is active and for a reasonable period afterwards, billing records as required for tax and accounting, and analytics in aggregated or time-limited form. Notion content used for generation is not kept longer than necessary to deliver and support that processing.
6. Sharing & Processors
We share personal data only with service providers that help us operate the Service, under appropriate agreements, including:
- Paddle — payments, invoicing, tax, and related billing support (see Paddle's privacy documentation);
- Hosting & infrastructure providers that run the Service;
- Analytics providers (such as PostHog) to understand usage; and
- Notion — when you authorise a connection, subject to Notion's terms and privacy policy.
We may also disclose information if required by law or to protect the rights, safety, or property of NotioDocs, our users, or others.
7. International Transfers
Some providers may process data outside the UK. Where we transfer personal data internationally, we use appropriate safeguards recognised under UK law (such as standard contractual clauses or an adequacy decision) where required.
8. Cookies & Similar Technologies
We use essential cookies to run the site and may use analytics tools to understand how the Service is used. You can control cookies through your browser settings. Disabling certain cookies may affect site functionality.
9. Your Rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to processing of your personal data, and to data portability. Where processing is based on consent, you may withdraw consent at any time. To exercise these rights, email jamie@notiodocs.com. You also have the right to complain to the UK Information Commissioner's Office (ICO) or your local supervisory authority.
10. Children's Privacy
The Service is not directed at children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us data, contact us and we will take appropriate steps to delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will revise the "Last updated" date on this page and, for material changes, provide additional notice where appropriate.
